Office Administator

Job Overview 
The Office Administrator plays a key role in ensuring the smooth and efficient running of Spark Medical's head 
office. As the first point of contact for visitors, colleagues, and external stakeholders, the postholder will 
provide professional administrative support across the business, helping to maintain effective communication, 
organisation, and operational efficiency. 
Main Duties and Responsibilities 
Administration & Office Support 
1. Answer and direct incoming telephone calls professionally and efficiently. 
2. Welcome visitors, clients, and candidates to the office, ensuring a positive first impression of the busi
ness. 
3. Manage incoming and outgoing post, deliveries, and general office communications. 
4. Support the Leadership Team with diary management and administrative tasks as required. 
5. Assist with data entry and administrative projects as required. 
6. Support the coordination of company events, training sessions, and meetings. 
Compliance & General Responsibilities 
1. Maintain confidentiality and handle sensitive information appropriately. 
2. Support compliance with company policies, procedures, and data protection requirements. 
3. Work collaboratively with colleagues across departments to support business operations. 
4. Perform any other duties commensurate with the responsibilities, skills, and level of the post. 
Person Specification 
Essential Skills & Experience 
• Educated to GCSE level (or equivalent), including English and Mathematics. 
• Excellent organisational and time-management skills.

 Strong verbal and written communication skills. 
• Ability to prioritise workloads and work effectively in a busy environment. 
• High level of accuracy and attention to detail. 
• Professional and confident telephone manner. 
• Ability to work independently and as part of a team. 
Desirable 
• Previous experience in an administrative, office support, reception, or customer service role. 
• Business Administration apprenticeship, NVQ, or equivalent qualification. 
• Experience using electronic filing or document management systems. 
IT Skills 
The successful candidate must: 
• Be computer literate with strong IT skills. 
• Be proficient in Microsoft Word, Excel, Outlook, and Teams. 
• Be comfortable learning and using company-specific systems and software. 
• Be confident in data entry, record management, and electronic filing systems.
