Office Administrator

Role summary 

Spark Medical is a market leader in the Ambulance and Events sector, and we are looking for an Office Administrator to join our team. The post holder’s primary role will be to assist the administrative team with a wide range of high-quality administrative duties to support Spark Medical operations. The post holder will also assist the Company Directors, Head of Governance and Contracts and Head of Ambulance Operations with ad-hoc tasks. The role will involve using a variety of technological systems and processes so the post-holder must have excellent IT competency. The role will require the successful candidate to work 5 days over 7, with some weekend work required.

Main duties and responsibilities

  • Act as first point of contact for visitors
  • Assist team with stock ordering, control and management
  • Assist team with data inputting
  • Undertake filing and photocopying as necessary, ensuring all documents are accurately and appropriately archived.
  • Assist with the gathering of statistical data when required
  • Take accurate messages and efficiently deal with telephone queries from staff members, general public and partner organisations
  • Provide administrative support using various technological systems
  • Keep own work area and communal areas clean and to a satisfactory standard
  • Work proactively with excellent degree of autonomy and on own initiative
  • Plan and organise own workload within tight timescales and to set and work to agreed objectives.
  • Work to the values of Spark Medical and display high standards of integrity and professionalism towards clients and colleagues.
  • Demonstrate excellent communication and interpersonal skills to work effectively with directors, managers, partner organisations and colleagues at all levels
  • Undertake any other duties relevant to the post as may be assigned from time to time which are consistent with the operational nature of the post.

 

Person Specification

Essential 

  • Minimum 12 months of administrative experience in busy environment
  • Educated to GCSE level or equivalent
  • Excellent IT literacy
  • Competency in the use of Microsoft Office Software
  • Excellent analytical and problem-solving abilities
  • Excellent communication and interpersonal skills
  • Excellent interpersonal skills with ability to communicate effectively at all levels
  • Excellent organizational skills
  • Able to work under direction
  • Able to work as part of a team
  • Able to prioritise objective and work schedules to make best use of time and resources
  • Ability to work in a team and also to use own initiative when necessary
  • Willingness to adapt and learn new skills

Desirable

  • Experience of working in health and social care setting

Candidates must be flexible with regards to working hours and have weekend availability to flexibly support business needs
